Hitachi Energy digitizes daily management with Boards on Fire

"We wanted a smart and simple solution to digitize our daily management. And that's exactly what Boards on Fire offers," says Anna Langörgen, Operations Manager at HV Breakers Hitachi Energy.

Hitachi Energy has long been at the forefront of daily management and lean thinking in its production worldwide. Traditionally managed through pulse meetings at whiteboards where information was written down, erased, and updated anew day by day. During the pandemic, the need to digitize daily management became apparent.

Time-consuming whiteboards

"We spent a lot of time aggregating and escalating information between different levels, from the teams all the way up to management. We had to walk around the entire factory and manually write on all the whiteboards to update relevant data. When COVID came and many worked from home, it became extra clear that this way of working was no longer functional. We began testing with Excel files, but I thought there must be a smarter way than that to run digitized daily management," says Anna Langörgen.

Quick start with Boards on Fire

A Google search away, they found Boards on Fire and after a web demo of the system, they immediately decided to run a POC that the improvement leader Lisa Jacobsson was responsible for.

"We first tested on a smaller scale with a board for each of our four levels of daily management, plus an additional team that was extra eager. It turned out very well, we got started quickly and everyone who was not part of the POC became curious and wanted to try it as well," she says.

Today, a total of 27 organizations in the factory run digital daily management with Boards on Fire. At 7:30 AM they hold morning meetings in ten different production groups at tier 1, then the information flows upward through the levels and by 10 AM, the top management is done with their meeting at tier 4.

Automatic aggregation

"We follow up on the status for health/safety, quality, and delivery. Then we follow a number of KPIs and pace. We also register stops in production as soon as any line stands still. This allows project management to quickly receive information and take action and even inform the customer if needed. This has made things much easier for the business," says Lisa Jacobsson and continues:

"Above all, I think the aggregation is what has made the biggest difference with Boards on Fire. Previously, we filled in the same information on all levels essentially, but now it's enough to fill it in at level 1 and then it's automatically aggregated upwards. We use the system a lot to create action, escalate, and spread information quickly to the right place in the organization."

International hub

Hitachi Energy in Ludvika is a world-leading center for high-voltage products with about 3,000 employees. They develop and manufacture everything needed in a substation, from transformers and switches to arresters and software needed to control the systems. At HV Breakers with about 350 employees, breakers are the specialty.

"We have long been a hub with many international visitors thanks to the collective expertise around high-voltage products that exists here in Ludvika. Now other parts of Hitachi have noticed that we at HV Breakers are also far ahead in terms of digital daily management with Boards on Fire, which is of course fun," says Anna Langörgen.

"We have received a lot of positive feedback both internally and from other parts of Hitachi. We are constantly exploring new ways to use Boards on Fire and looking forward, integrations with other systems in the operation is an area that might become relevant later this year."
